PandaDoc Free eSign — popular with KoffeeKlatch customers
If you only send out a handful of contracts each month, PandaDoc is widely used in our community. It offers unlimited free e-signatures with no hidden quota. You can upload your KoffeeKlatch PDF, add signature and date fields, and send. Both you and your client get a signed copy for your records. PandaDoc accepts PDF, Word (.docx), and common image files such as JPG and PNG.
SignWell — for occasional use
SignWell is a straightforward option if you only need the odd contract signed each month. The free plan includes three documents per month. It has an easy-to-use interface with audit trails. It can create a single document from mixed PDFs, Word files, or images. SignWell accepts PDF, Word (.doc and .docx), and image files such as JPG, PNG, TIFF and GIF.
DocuSign — the household name
DocuSign is the most recognised e-signing brand, which can reassure clients who are nervous about online signatures. The free tier covers one or two documents per month. It is widely trusted and legally recognised worldwide. Paid plans can get expensive quickly. DocuSign works best with PDF uploads.
Adobe Acrobat Sign — handy if you already use Acrobat
Adobe Acrobat Sign integrates directly into the Adobe tools many people already use. The free plan allows two documents per month. It works seamlessly if you already edit PDFs in Acrobat. The interface is heavy and the upgrade path is not the cheapest. Adobe works best with PDF uploads.
HelloSign (Dropbox Sign) — good for Dropbox users
HelloSign, now called Dropbox Sign, works naturally if you already use Dropbox for your files. The free plan includes one document per month. It syncs automatically with Dropbox for easy storage. It is too limited to rely on as your main signing tool but useful as a backup. Dropbox Sign works best with PDF uploads.
Pro Tip: Leave Room for E-Signatures
When you fill in your KoffeeKlatch contract, don’t type the signing date or signature yourself.
– Put a single space in the date box before saving.
– Leave the signature box completely blank.
– Then, when you upload the contract into your chosen e-signing platform, add a date field and a signature field. If you are working on a platform that sends pdfs, merge you completed Booking form/Data Processing form with the accompanying documents to create one folder or one document so everything is together to send for signing.
That way your client enters the correct details at the point of signing — and you’ll always have a properly dated, signed copy for your records.

It’s not enough to get a contract signed — you also need to know where it lives once the process is complete. Each e-signing tool handles storage slightly differently:
PandaDoc – Stored in your chosen region (US or EU), with folders to help you organise. Acts like a built-in document repository.
